If you have to bring a group of busy people together, trying to find a date and time that works for all can be quite a time consuming activity, involving several emails and phone calls back and forward; that is unless you are using Doodle.
Doodle.com is like a poll that allows you to set up several options for dates and times for your event, providing you a link that you can send to all the intended participants. Once they click the link, they will need to tick ALL the time slots that work for them, allowing you to then select a timeslot that most, or hopefully all, have said they can fit into their schedule.
Go to www.doodle.com and click the “Schedule an Event” button. Enter a title for your poll, and optionally the location where this meeting will take place. Next you can enter information on the event and include instructions for the poll – the important thing being that the participants should select all the time slots that work for them.
Finally, enter your name and email address and click the “Next” button. Now you need to select the dates for your poll. This could be a single day, or multiple days, depending on the type of event you are organizing. Click the “Next” button. Now you need to enter the available timeslots for each day.
Use the “Add further time slots” link to add more options, and the “Copy and Paste first row” to copy the times you have entered for the top row into any rows below it (if you have more than one date). Click the “Next” button and either click the “Next” button under the Basic Poll option, or click the Settings header for advanced options, then click “Next”.
Finally select the “Everyone with a link can participate” option and click the “Finish” button. You will now see a Doodle.com link you can email to anyone you wish, and as their answers come in, you will be notified by email. Using the Administration link you can access an overview of the replies and make your decision for the date and time of your event. These links are also sentto you by email for future reference.
